Comprehensive renovation instead of isolated repairs

Office renovation without chaos. Design, MEP and delivery in one process

An office renovation does not start with choosing a wall colour. It starts with deciding what can be retained, what needs to be rebuilt, how each change affects building systems and whether the work can be completed without stopping business operations. Ecoffices manages this process end to end — from audit and design to construction, commissioning and handover.

More than minor repairs

Office renovation is a coordinated change to the workplace, not a list of isolated jobs

In everyday language, “renovation” can mean anything from repainting a few walls to completely rebuilding an office. From a delivery perspective, these are very different projects. Replacing carpet in one room does not require the same preparation as changing the office layout, relocating fan coil units, modifying ventilation, electrical systems and life-safety systems, and delivering a new workplace standard.

Ecoffices is not a contractor for ad-hoc painting, a handful of sockets or isolated repairs. We manage office renovation as a coordinated design-and-delivery process. First we assess the existing space and the organisation’s needs, then design the changes, coordinate disciplines, build the budget and programme, and finally deliver the complete scope.

Minor repair

Individual painting, a socket repair or a local defect.

Renovation

Changes to finishes and selected technical elements.

Modernisation

Design, layout, MEP systems, construction and handover.

Where Ecoffices enters the process

We become involved when a space needs a considered change and one team accountable for both design and delivery.

Correct project qualification

Renovation, modernisation or full fit-out — three levels of intervention

One of the most common mistakes happens before design begins: a project is described as a light refurbishment even though the expected result requires major changes to building systems and the functional layout. We explain the key scope differences in our article what fit-out is and how it differs from refurbishment. The project label does not reduce the real scope.

Renovation / refresh

Most of the office remains

  • limited layout changes,
  • finish renewal,
  • partial lighting replacement,
  • local MEP works.
Modernisation / fit-out

Functional change activates multiple disciplines

  • new room layout,
  • HVAC and electrical relocations,
  • changes to FAS, VAS, BMS and sprinklers,
  • technical design and formal handovers.
The most cost-effective scope comes from intelligently reusing what already exists and still meets the new user’s requirements.
Existing condition

Without an audit, there is no reliable design or budget

Archived documentation is often incomplete or out of date. That is why an office renovation should begin with a site survey, inventory and verification of hidden elements above ceilings, below raised floors and inside service shafts.

The audit covers partitions, doors, ceilings, floors, HVAC, plumbing, distribution boards, cable routes, fire-safety systems and building automation. Only then can we decide what still has value and what only appears suitable for reuse.

01

Documentation

Plans, MEP drawings, reports and building-manager requirements.

02

Survey

Dimensions, equipment, routes, finishes and access.

03

Opening-up works

Verification of elements that cannot be confirmed from drawings.

04

Decision map

Retain, relocate, repair, replace or investigate further.

Reuse without compromise

What is worth retaining — and what should not be saved at any cost?

Reuse can reduce CAPEX, shorten the programme and limit waste. We examine this in more detail in our article on what is worth keeping after the previous tenant and what needs to be rebuilt. But retaining an element is not automatically a saving. It must suit the new layout, meet technical requirements and avoid adaptation costs that exceed the cost of replacement.

ElementWhat to checkWhen to retainWhen to replace
Ceilingmodule, grid, tiles and accesswhen it suits the new layoutwhen it obstructs MEP changes
Carpetwear and colour batcheswhen it can be extended coherentlywhen the old layout will remain visible
Doorsacoustics, fire rating and hardwarewhen they meet requirementswhen repair approaches replacement cost
Glass partitionssystem, glass and profileswhen the system is completewhen components are unavailable
FCUscapacity, noise and controlswhen they meet the new loadswhen they are noisy or inefficient
The best reuse is invisible

The user should not feel that the new office was assembled from random leftovers.

The invisible layer

An office renovation quickly becomes an MEP project

Changing walls and room functions affects almost every technical discipline. A new meeting room needs ventilation, cooling, power, lighting, data, fire detection and often dedicated controls.

HVAC and plumbing
  • FCUs, ducts, flexible connections and diffusers,
  • water systems and condensate drainage,
  • sanitary areas and kitchenettes.
Electrical and IT
  • distribution boards and lighting,
  • LAN, Wi-Fi, AV, CCTV and access control,
  • floor boxes and workstations.
Life safety
  • FAS, VAS, BMS and sprinklers,
  • escape routes,
  • fire stopping and formal handovers.

Business continuity

Can an office be renovated while it remains operational?

Yes in some cases, but not every activity, not in every building and not without additional planning. Moving work to the evening does not solve the problem by itself. Dust remains in the morning, odours can linger for hours, technical systems require shutdowns and life-safety systems cannot simply be disabled.

The project needs zoning, sealed protection, a delivery plan, agreed hours for noisy work, daily cleaning, partial handovers and a contingency plan. The key point is to treat business continuity as a project constraint from the start, not as an afterthought added once construction begins.

Night work does not remove risk. It only moves part of the work outside normal occupancy hours.
Not one rate per square metre

How is a realistic office renovation budget built?

A rate per square metre can be a reference point, but it cannot replace a defined scope. Two offices with the same floor area can require completely different investment levels.

Budget develops together with the design

Design decisions should be continuously tested against procurement and construction knowledge. For current CAPEX context, see our analysis of what really drives office fit-out cost in Warsaw.

The full programme

The programme includes much more than construction works

The delivery timeline includes the audit, functional layout, documentation, approvals, pricing, procurement, construction, commissioning, testing and handover. Treating the construction period as the entire programme creates an artificially short schedule before the project has even started.

01

Audit and brief

User needs, documentation and building constraints.

02

Design and budget

Architecture, MEP disciplines and cost control.

03

Procurement

Materials, logistics, protection measures and approvals.

04

Delivery

Works, commissioning, documentation and handover.

The most common reason for an unrealistically short programme is omitting design, approvals and procurement.

Single-point responsibility

Why Design & Build?

In a fragmented model, differences between the design, existing conditions and the capacity of building systems often become visible only during construction. In Design & Build, one team develops the design together with the budget, engineering and programme. You can see the broader process on our office fit-out and Design & Build service page.

Renovation, modernisation or fit-out?

This model does not replace an audit. It helps show how layout, MEP systems, existing condition and delivery constraints influence project qualification.

Conclusion

A good office renovation is about making the right decisions in the right order

The greatest value in an existing office may lie in efficient building systems, demountable partitions and technical infrastructure. The greatest risk may be hidden in missing documentation, worn equipment and non-compliant conditions above the ceiling.

A comprehensive office renovation requires design, engineering, cost and construction knowledge to work together.

FAQ

Frequently asked questions

Does Ecoffices carry out small repair jobs?

No. We deliver comprehensive renovations and modernisation projects in which design, coordination and construction form one process.

Does an office renovation require a design?

Yes, when it changes the layout, room functions, MEP systems, fire safety or the technical standard of the space.

Can renovation work be carried out while the company is operating?

Yes in some cases, but only after analysing phasing, protection measures, noise, dust, shutdowns and escape routes.

What affects the cost?

The existing condition, scope of change, MEP systems, reuse potential, logistics, finishing standard and programme.
