How much does office renovation cost? Scope of work and standard determine the budget
Office renovation cost is not determined by floor area alone. It results from the starting condition of the space, the scope of finishes to be restored, suspended-ceiling works, flooring and skirtings, local electrical adjustments, waste logistics, work organisation in an operating office, design documentation and decisions about furniture and equipment. In the Ecoffices model, renovation is analysed through three base scenarios: Eco Refresh — PLN 940 net/m², Eco Restore — PLN 1,480 net/m² and Eco Upgrade — PLN 2,760 net/m².
Office renovation costs as much as the actual scope of change requires
Office renovation most often means refreshing or restoring the standard of an existing space: painting, repairs, replacement of flooring and skirtings, partial or full replacement of suspended-ceiling tiles, lighting repairs, local electrical adjustments, removals, waste management and measures that protect business continuity. A well-managed renovation requires a clearly defined scope, suitable design or scope documentation and efficient coordination of all works. We describe the full design-and-delivery process in more detail in our guide office renovation without chaos.
At Ecoffices, we manage office renovation as a complete process: we assess the existing condition, design the changes, coordinate disciplines and deliver the agreed scope. Even at the refresh stage, we review the impact on ceilings, detectors, diffusers, lighting, flooring, equipment and waste logistics, which makes the budget and programme more predictable.
Painting, local repairs, replacement of flooring and skirtings, partial replacement of suspended-ceiling tiles, basic electrical repairs and replacement or supplementation of non-operational lighting within the existing infrastructure.
A more extensive restoration of the existing standard: broader ceiling works, replacement of flooring and skirtings, repairs, electrical adjustments, rationalisation of lighting points, removals and worksite organisation.
Renovation with a higher finish standard: a broader scope of new light fittings, better materials, ceiling rationalisation, more extensive electrical adjustments, selected equipment and limited layout changes.
These are Ecoffices scenario benchmarks that structure the budget by scope and risk. They help compare three levels of renovation and prepare an initial budget for further pricing. The final value depends on a site survey, design, condition of the systems, building requirements, timeline and work organisation. A broader view of investment cost, contingencies and all-in items is presented in our office fit-out CAPEX benchmark.
Office renovation costs as much as the real scope of works and the way those works must be carried out in the existing space. A single rate per square metre is not enough to assess the budget unless the ceiling scope, flooring replacement, furniture relocation, removals, waste management, lighting and design documentation have been defined.
Estimate the indicative office renovation cost
The module shows an indicative renovation cost profile based on the Eco Refresh, Eco Restore and Eco Upgrade scenarios. It includes design documentation, suspended ceilings, flooring, lighting, removals, work organisation, existing office equipment and optional furniture layers.
What is office renovation, and where does it stop?
The term office renovation is often used too broadly. In the Ecoffices model, renovation means work within an existing space: refreshing finishes, restoring the standard, replacing worn elements and rationalising selected systems within the existing infrastructure. When the scope includes a new layout, wider MEP changes and complete equipment, it should be compared with the cost of a full office fit-out.
- painting and local repairs,
- flooring replacement,
- local suspended-ceiling works,
- basic electrical repairs.
- restoration of the existing standard,
- ceiling tiles and ceiling equipment,
- skirtings and flooring,
- removals, waste and coordination.
- change in how the office functions,
- more extensive MEP adjustments,
- new workplace zones,
- greater role of technical design.
- full investment process,
- new tenant layout,
- disciplines, approvals and delivery,
- a complete office tailored to a specific organisation.
Even a simple office renovation requires design and coordination
In an existing office, the biggest risks appear when the project is assumed to be only a visual refresh. In practice, removing a ceiling may require detectors, diffusers, grilles, light fittings and other building-system components to be removed and reinstated. We explain building manager approvals and documentation requirements in more detail in our article on approvals and formal requirements for office renovation and adaptation.
If the renovation requires phased works, protection of existing equipment, removal of ceiling-mounted equipment, waste disposal and coordination with the building manager, it is no longer a simple refresh. That is why office renovation should start with design and scope definition.
Office renovation combines finishes, ceilings, flooring, equipment and work organisation
A typical office renovation does not start with new glazing and a completely new partition layout. Most work is carried out within the existing infrastructure: walls, suspended ceilings, flooring, skirtings, lighting, sockets, electrical points, existing equipment and waste logistics.
If the design starts dividing rooms into smaller spaces, it usually triggers ventilation changes, technical design and higher cost. In renovation projects, it is more common to combine smaller rooms, simplify the layout or restore the existing standard.
Typical renovation layers
The model breakdown shows the indicative share of the main layers in a typical office renovation, excluding furniture and equipment, which are treated as a separate optional layer.
- Painting and repairs24%
- Flooring and skirtings22%
- Ceilings and equipment22%
- Electrical and lighting10%
- Design and logistics22%
Where does risk increase?
The greatest uncertainty comes from ceilings, works in an operating office, removals, existing equipment and building requirements.
- Ceilings and equipment26%
- Operating office20%
- Removals and waste18%
- Existing equipment14%
- MEP and building22%
What increases office renovation cost the most?
Office renovation cost increases not only with material standard, but primarily with the way works must be organised in an existing space, suspended ceilings, ceiling-mounted equipment, removals, waste management, existing office equipment and the scope of design documentation.
Ceilings and equipment
Replacing suspended-ceiling tiles starts at around PLN 120/m², while removing and reinstating ceiling-mounted equipment can add at least another PLN 150/m².
Works in an operating office
Phasing, night works, protective measures and keeping parts of the office operational increase organisational cost and programme risk.
Existing equipment
Existing equipment must be protected, removed from the space or relocated in phases. In the model, a new workstation added during renovation is budgeted indicatively at PLN 3,500 net.
Bespoke joinery
Bespoke laminated-board joinery should be budgeted indicatively from around PLN 2,500 net per linear metre, and kitchenette cabinetry from around PLN 3,500 net per linear metre, excluding appliances, fittings and connections.
Design documentation
Design is a necessary layer of a renovation project. In this model, Eco Layout is budgeted at PLN 30/m², Eco Vision at PLN 120/m² and Eco Signature at PLN 260/m².
How long does office renovation take?
Cost is only one side of the process. The other is time. The programme depends on whether the office is taken out of use, whether the renovation is phased, whether existing equipment must be relocated, whether ceiling-mounted equipment needs to be removed and whether works require coordination with the building manager. The sequence of stages and dependencies between design, delivery and handover is explained in our step-by-step office fit-out timeline.
Office renovation in Warsaw has its own constraints
Warsaw is a demanding market, particularly in Class A office buildings and larger commercial properties. In addition to the scope of works, the project must account for building procedures, delivery logistics, permitted working hours, waste removal, access to goods lifts and building manager requirements.
- strict building manager guidelines,
- greater role of fire-safety systems and BMS,
- restricted working hours,
- complex delivery and waste logistics.
- cost may increase because of phasing,
- the programme may extend by 1–3 weeks,
- documentation and coordination become more important.
How can office renovation cost be reduced without compromising quality?
A renovation budget can be reduced sensibly, but not through random cuts. The best savings come from separating what genuinely needs replacement from what can be safely retained. We explain how to assess walls, ceilings, doors, flooring and building systems in our article on what to retain in a second-generation office.
- fewer full removals,
- less intervention in ceiling-mounted equipment,
- better control of lighting points,
- lower technical risk.
- sensible retention of existing equipment,
- replacement of selected workstations only,
- control of bespoke joinery scope,
- fewer unnecessary relocations.
- fewer changes during delivery,
- clear renovation scope,
- earlier approvals,
- a more reliable programme.
Self-coordination may look like a saving, but it often ends in budget overruns, delays, clashes between trades, quality issues and additional costs at the end of the project.
Frequently asked questions about office renovation cost
How much does office renovation cost in Warsaw?
In the Ecoffices model, indicative base rates are PLN 940 net/m² for Eco Refresh, PLN 1,480 net/m² for Eco Restore and PLN 2,760 net/m² for Eco Upgrade. The final budget may also include design documentation, suspended ceilings, furniture and equipment, bespoke joinery, phasing and building procedures.
Does office renovation require a design?
Yes. Every office renovation should be based on a design or at least a precisely defined scope, because even a refresh requires decisions on standard, work organisation and impact on existing infrastructure.
Is furniture and equipment replaced during renovation?
Often, yes. In the calculator, a new workstation added during renovation is budgeted indicatively at PLN 3,500 net, including a desk, task chair, mobile pedestal and basic accessories.
How much does bespoke joinery cost?
Very indicatively, laminated-board joinery starts at around PLN 2,500 net per linear metre, while kitchenette cabinetry starts at around PLN 3,500 net per linear metre, excluding appliances, fittings, connections and non-standard hardware.
Why can the ceiling have such a large impact on cost?
Because replacing ceiling tiles may require detectors, diffusers, ventilation grilles, light fittings and other technical ceiling components to be removed and reinstated.
Is renovation only about improving aesthetics?
No. Renovation may include visual improvement, restoration of the existing standard, ceilings, flooring, lighting, equipment and work organisation, but it should not be confused with a full office fit-out.
Are these rates a market price list?
No. They are model values used to compare the Eco Refresh, Eco Restore and Eco Upgrade scenarios. The actual cost requires a site survey, design, defined scope and contractor pricing.
What type of office renovation does Ecoffices deliver?
Ecoffices delivers comprehensive office renovation and modernisation projects with design: from existing-condition assessment and scope definition, through discipline coordination, to delivery of the agreed works.
Office renovation is not a single price per m² — it is a decision about how much of the existing space to restore
The biggest mistake in thinking about office renovation is reducing it to one number per square metre. In practice, the cost results from decisions about painting, flooring, skirtings, ceilings, ceiling-mounted equipment, lighting, furniture, removals, waste management, works in an operating office and design.
If the scope starts to include new partitions, wider ventilation changes, a full functional redesign and new workplace zones, the project moves into modernisation or fit-out. That is why a well-prepared renovation starts with design and a realistic assessment of the existing space. A stay decision should also be supported by a comparison of office relocation and modernisation.
Check whether renovation is enough or a deeper modernisation is required
Office renovation should be compared with the cost of a full fit-out, a workplace-capacity test and the wider lease decision. The fit-out calculator is useful here as a benchmark for a broader investment scope.
