There is no single correct hybrid-office model. A sales team, technology company, law firm, operations centre and project-based organisation have different attendance patterns, meeting behaviours and space requirements. Simply removing desks or adding a few phone booths does not solve the underlying problem.

First, you need to understand when people come to the office, why they come, who they collaborate with, how long they need uninterrupted focus and which activities create spatial conflicts. Only then can you assess whether the current office is too large, poorly divided or simply fails to give people a good reason to use it.

As work models changed, hybrid meetings, short online calls and individual work from the office all increased. Yet many workplaces are still organised around a large open-plan area and a handful of traditional conference rooms.

In this scenario, almost half of all meeting rooms are large, while the modelled average meeting size is only 3.5 people. At the same time, five existing booths do not cover demand — the model indicates a deficit of seven more. The issue is therefore not the amount of floor area itself, but the mix of spaces.

Acoustics and focus

An office can have enough floor area and still be a poor place to work

Across the full model dataset, an average of 34.8% of video calls take place at workstations, while the modelled share of acoustic complaints is 38.6%. These two indicators should be read together: the problem may not be sound absorption itself, but a shortage of appropriate places for calls.

Investment decision

Reduce the office, rebuild it or relocate?

The answer depends on where the problem lies. If the building, location and lease terms still work but the layout does not, modernisation may be more rational than relocation. If the office is permanently oversized or the building prevents the required changes, moving may produce a better result.
