Lower attendance does not automatically mean lower office cost
In many organisations, the first reaction to hybrid work is similar: if part of the team works remotely, the office should be smaller. The assumption is logical but incomplete. Office cost does not depend only on average weekly attendance. It also depends on peak days, meeting demand, project work, confidential calls, support functions, technology, acoustics and the space’s ability to absorb variable occupancy.

How much does an office cost when it exists on paper but does not actually work?
This calculator does not price one desk. It calculates the cost of unused operational floor area over a 60-month horizon. We assume that around 35% of the office is fixed infrastructure: circulation, WCs, support space, rooms and technical elements. The remaining 65% is operational space that can either work in a hybrid model — or consume capital without creating value.

If a company reduces desk count without changing the workplace programme, booking rules, meeting-room mix, technology and attendance management, the saving may be illusory. The cost does not disappear; it reappears as unused space, overloaded rooms, an expensive desk buffer or lower work effectiveness.

The Ecoffices Hybrid Workplace Resilience Index was created as an inference layer over four analytical areas. The office-preparation cost model identifies investment expenditure and technical pressure. Total lease cost shows the decision cost over time. Test-fit checks whether the space matches the real workplace programme. The carbon model helps assess whether retaining or rebuilding the space is environmentally justified.

Hybrid work can reduce office cost, but only when the company redesigns the entire logic of space use. This means matching desk count, meeting rooms, spaces for online calls, focus zones, support functions, technology, booking rules and the length and flexibility of the lease. Lower attendance alone is not enough if the company keeps the old layout, old desk buffer and full infrastructure cost.
